The Challenge: An opportunity to enhance speaker management capabilities and strengthen competitive edge.

The Pennsylvania Convention Center (PCC) is one of the most dynamic venues in the country, hosting nearly 150 events annually and welcoming close to one million attendees each year. From large-scale association conferences to tradeshows and public expos, the PCC frequently operates multiple events simultaneously.

With this level of scale comes increasing expectations from associations and meeting planners, and the PCC recognized an opportunity to expand its in-house capabilities with a speaker management solution. This would further enhance the client experience, strengthen RFP responses, and unlock additional AV revenue potential.

Rather than relying on manual workflows or ad hoc transfers, the PCC set out to implement a solution that would:

  • Standardize and centralize presentation management across multiple rooms and concurrent sessions.
  • Reduce event-day risk and eliminate manual file transfers.
  • Integrate seamlessly with existing AV operations without additional staffing strain.
  • Enhance competitiveness for large conferences and events.

The Solution: Cadmium’s Speaker Ready System (SRS) that integrated seamlessly into existing operations.

When the opportunity arose to support an event already using Cadmium’s technology ecosystem, the PCC saw the advantage of extending that experience into speaker management. The addition of SRS empowered the PCC to provide a centralized speaker workflow without having to build and maintain a proprietary system.

Implementation was efficient and straightforward. After a focused training session with Cadmium, the PCC’s seasoned AV and event team quickly incorporated the solution into their operations. The Speaker Ready System’s intuitive interface and responsive support ensured a smooth rollout.

SRS replaced:

  • Manual USB transfers to individual session rooms with centralized digital presentation management.
  • Ad hoc local network workarounds.
  • Last-minute file collection and distribution with control, pre-session upload and review processes.
  • Fragmented room-by-room coordination with centralized oversight across multiple concurrent sessions.

In a convention center environment, where flexibility and simultaneous programming are the norm, this shift brought greater operational control without adding complexity. SRS also fit naturally into the PCC’s existing AV structure with little to no hiccups.

The Result: With SRS in place, the PCC strengthened its competitive positioning and delivered smooth event-day experiences.

The addition of SRS enhanced both day-to-day operations and long-term competitiveness. By centralizing and standardizing presentation management, the PCC created a more user-friendly and efficient event environment for staff, planners, and speakers alike.

As a result, the PCC has:

  • Increased competitiveness in RFP submissions by offering a formal, professional Speaker Ready solution expected by large associations.
  • Reduced last-minute presentation challenges through structured upload, review, and distribution workflows.
  • Improved the speaker and planner experience with a polished and reliable presentation management process.
  • Integrated new technology without adding operational strain, thanks to intuitive design and rapid staff adoption.

“After a single training session, our team was able to integrate Cadmium’s Speaker Ready System into our workflow with confidence. It eliminated the need for manual file runs and gave us centralized visibility across rooms. For a large convention center environment like ours, that level of control and reliability truly makes a difference.”
